01 / Connected service design
White Glove Events plans celebrations through close client relationships, careful coordination, and a trusted network of partners. Its digital product needed to communicate that care without reducing the business to a beautiful brochure—or exposing the vendor knowledge that made the service valuable.
From February to April 2026, Incub8 designed, implemented, and deployed one platform across that boundary. The public experience introduces the brand and captures meaningful event context; the operational side helps the team manage enquiries, content, imagery, people, and vendor relationships; and a private sharing flow turns that knowledge into a considered next step for each client.
02 / What we built
We owned the product from experience design through implementation and deployment, connecting the outward-facing brand to the workflows the team uses behind it.

Creating a guided enquiry around event type, timing, location, scale, style, priorities, investment range, and contact details.
Giving the team authenticated control over imagery, galleries, testimonials, founders, team members, users, and reusable page assets.
Building a private, searchable vendor directory with categories, tags, contacts, addresses, and internal notes.
Connecting enquiries to ordered vendor lists and named, expiring links that expose only the partners selected for that client.
Implementing the full-stack application, data model, authentication, media storage, administration, analytics, and deployment foundation.
Building page metadata, canonical URLs, structured data, crawl controls, social previews, a sitemap, and machine-readable site guidance.
03 / The valuable knowledge
White Glove’s vendor network is part of the service: accumulated through experience, evaluated through judgment, and adapted to the character, priorities, and investment range of each event. Publishing the whole directory would remove that context and expose relationships that were meant to remain considered and private.
Keeping the same knowledge in notes and ad hoc messages would make it difficult to maintain, reuse, or connect to an enquiry. The product had to make vendor knowledge operable for the team while keeping every client-facing recommendation deliberately scoped and personal.
04 / Product decisions
The enquiry captures the event context needed for a useful first conversation instead of beginning with an empty text box.
The public site explains how partners are chosen, while contacts, notes, tags, and the complete vendor directory remain inside the authenticated workspace.
Reusable vendor lists can be assembled, ordered, and adapted rather than reconstructed from scattered records for every client.
A planner can create a recommendation link from an enquiry, prefill the recipient, and preserve the connection between the request and the response.
Random tokens, expiry, revocation, and access timestamps protect the list while giving the team control over the client handoff.
05 / Service platform
The product brings the public experience and the team’s operational tools onto one shared application, identity, data, and media foundation.
06 / Live and maintained
White Glove Events now uses the public website, structured enquiry, content-management, vendor-management, and private client-sharing workflows in its day-to-day service. The product connects discovery, internal knowledge, and client delivery without asking customers to experience the operational complexity behind them.
After completing the initial design and development engagement in April 2026, Incub8 continues to maintain the deployed platform. That continuity keeps the technical foundation close to the people who shaped the service and the decisions it was built around.
