01 / Long-term product partnership

One platform for the full lifecycle of a private investment.

Warburg Serres was building an investment firm around emerging technologies and unusually long time horizons. Running that business required more than a portfolio dashboard. Investor onboarding, identity checks, agreements, money movements, valuations, internal approvals, research, and recurring reporting all had to stay connected as the portfolio and organization evolved.

From August 2018 to January 2023, Incub8 worked with the team to design and build that operating system. Led by Swathi, the engagement spanned the investor experience, administrative workflows, analyst tools, financial calculations, APIs, integrations, authentication, and AWS infrastructure.

02 / What we built

The investment lifecycle, connected end to end.

The product served investors, analysts, and fund administrators through distinct workspaces built over one shared investment and portfolio model.

01

Product & domain architecture

Turning investors, agreements, investments, movements, holdings, valuations, and reports into shared concepts, permissions, and workflows.

02

Investor onboarding

Coordinating profiles, KYC, required documents, agreement signing, money-movement status, administrative review, and account activation.

03

Investor portfolio experience

Giving investors a clear view of portfolio value, growth, activity, reports, agreements, and supporting documents.

04

Fund operations workspace

Supporting onboarding and investment approvals, portfolio maintenance, operational exceptions, document status, and administrative oversight.

05

NAV & valuation tooling

Creating repeatable calculations and period-based portfolio views from holdings, valuations, ownership, and transaction data.

06

Reporting & distribution

Generating monthly and quarterly investor reports from platform data, then reviewing and distributing approved outputs.

07

Analyst research workspace

Enabling shared notes, research, and collaboration around portfolio companies and investment context.

08

Full-stack platform engineering

Building web applications, APIs, integrations, role-based authentication, and the AWS foundation carrying the product.

03 / The shared investment truth

Every audience needed a different view of the same investment record.

Investors, administrators, analysts, and fund managers did not need the same interface—but they did depend on the same underlying people, agreements, money movements, holdings, valuations, and reporting periods.

Fragmenting those workflows across spreadsheets and disconnected tools would create discrepancies exactly where trust and financial accuracy mattered most. The product had to provide focused experiences without duplicating the underlying truth.

04 / Product and engineering judgment

Build one operating model, then shape it for each role.

Decision 01

Model the lifecycle, not a collection of dashboards

Investor, agreement, investment, movement, holding, valuation, and report states were connected through explicit workflows rather than isolated screens.

Decision 02

Give each role a focused workspace

Investors, analysts, and administrators received experiences suited to their responsibilities while sharing the same underlying portfolio model.

Decision 03

Keep financial logic out of presentation code

NAV and portfolio calculations lived behind reusable platform boundaries so charts, reports, and administrative views could rely on consistent results.

Decision 04

Generate reports from the system of record

Monthly and quarterly communication became a controlled output of portfolio data instead of a separate manual reconstruction.

Decision 05

Protect the product from integration churn

KYC, signing, financial, communication, and other external services connected through platform boundaries rather than defining the core investment model.

05 / Investment operating system

One connected platform from onboarding to reporting.

The product joined investor experience, fund administration, research, financial calculations, integrations, and cloud operations into a single long-lived system.

06 / A product that grew with the firm

Four and a half years of product knowledge, carried in the system.

The platform grew from an early product foundation into an end-to-end operating environment for investors, analysts, and fund administrators. Onboarding, valuation, research, reporting, and portfolio visibility evolved against one connected model rather than as isolated tools.

Incub8’s engagement concluded in January 2023. Warburg Serres continued investing in its software platform afterward; later product and technology changes sit outside the scope of this case study.
